INFORMATION ON PERSONAL DATA PROTECTION
The present document describes terms and conditions to handle users' personal data. Users' data are needed to register to the events organized and managed by DEFOE.
Tis policy is written in compliance with the Legislative Decree 196/03 - art. 13 - Personal Data Protection Code and Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016.
The owner of the personal data used for executing the on-line registration is DEFOE – Via Copernico, 38 – 20125 Milano. All data are collected and processed by staff in charge of the processing either by external technical staff involved in data maintenance and recovery.
NATURE AND PURPOSE OF DATA PROCESSING
- We inform you that data will be processed by the following means:
- Mixed: electronic and/or paper forms for the following purposes:
- Fulfilment of fiscal or accounting requirements;
- Fulfilment of legal requirements established by law, community regulations and legislation;
- Provide training courses and other informative events;
- Italian nationals only: transmission of data to the National Commission for Continuing Medical Education in case of participation in CME events.
LEGAL FRAMEWORK
- The provision of data is compulsory for all that is required by legal and contractual obligations, therefore, the refusal to supply them completely or partially may cause the impossibility of providing the requested services. DEFOE processes optional user data on the basis of consent, namely, through the explicit approval of the present privacy policy and in relation to the methods and purposes described as follows.
ADDRESS CATEGORIES
- Without prejudice to communications realised in respect of legal and contractual obligations, all the data compiled and processed may be conveyed solely for the above mentioned purposes to subjects within the following ambits:
- Authorised personnel
- Banks and credit institutions;
- Chamber of Commerce;
- Consultants and freelance professionals, or in association with;
. CME accrediting institutions
- Sanitary organisations or personnel
- Other companies, partners;
RETENTION PERIOD
- Required data for contractual and accounting purposes is conserved as long as is necessary for the course of commercial and financial relations.
Data not referring to those buying or using products/services, albeit them having had previous contact with company representatives, will be immediately deleted or anonymously treated, where its retention would otherwise not be justified, unless legitimately acquired through consent of the interested party regarding subsequent sales promotions or market research activities.
The period for the retention of data is: data will be processed within the time required to pursue the current business relation and for the next ten years from the date of acquisition.
DATA SUBJECT RIGHTS
- At any given moment a subject may: exercise his rights (access, rectification, erasure, restriction, portability, opposition, object to automated decision making and profiling) vis-à-vis the data controller under art. 15-22 of the GDPR (link to the normative); if the treatment is based on consent, withdrawal of the consent shall not affect the lawfulness of processing based on consent before its withdrawal.
Disabling cookies
Most browsers offer the possibility to manage and not enable cookies, so as to respect user preferences. With some browsers it’s possible to set up rules managing each site, an option which offers a more precise control of the user’s privacy; another function available on some browsers is the incognito mode, so as to delete all the cookies created between browsing sessions.

Subject to any exemptions provided by law, you have the right to request access to Information, as well as to seek to update, delete or correct this Information. To the extent that Defoe's processing of your Personal Data is subject to the EU General Data Protection Regulation, Defoe relies on its legitimate interests, described above, to process your data. You have a right to object to Defoe's use of your Personal Data at any time by updating your profile and opting out from receiving all emails. If you are a contributor/participant/faculty member/abstract submitter You may object to processing by emailing privacy@defoe.it. Defoe takes its users' privacy concerns seriously. If you believe that Defoe has not complied with this Privacy Policy with respect to your Personal Information, you may contact the internal officer responsible for treatment privacy@defoe.it.
In your letter please describe in as much detail as possible the ways in which you believe that the Defoe Privacy Policy has not been complied with. We will investigate your complaint promptly.
